Documents Worth Saving Digitally before an International Trip

International travel involves documents that may be needed at airports, hotels, hospitals, immigration counters or during changes to the journey. Keeping digital copies gives you a useful backup when the original is not immediately available.

The aim is not to replace physical documents, but to make important information easier to access. Before leaving India, save the following documents securely on your phone and, where suitable, on a trusted cloud account.



Passport Copy

Save a clear scan of the passport information page showing your photograph, passport number, date of birth and validity details. If your passport contains an important visa stamp or entry endorsement, save that page too.

A digital copy can help when filling forms, checking travel details or reporting a lost passport. However, it does not replace the original where physical verification is required.

Visa or Entry Permit

Keep a copy of the visa, electronic visa, entry permit or travel authorisation issued for your destination. Save the approval document and any confirmation email carrying an application or reference number.

Entry requirements differ across countries, so check official immigration guidance before departure. If several countries are part of your itinerary, store the relevant documents separately for each destination.

Flight Tickets and Boarding Details

Save your flight ticket, booking confirmation, passenger name record and updated itinerary. If the airline issues an electronic boarding pass in advance, keep an offline copy where permitted.

These records help you confirm flight numbers, departure times, terminals and booking references without searching through emails. Also save any revised itinerary if the airline changes your schedule.

Hotel and Accommodation Confirmations

Keep digital copies of hotel bookings, apartment reservations or other accommodation confirmations. The saved record should show the property name, address, dates of stay and booking reference.

If your accommodation provider sends check-in instructions, entry codes or contact details, save those separately so they remain easy to find after arrival.

Travel Insurance Policy Papers

After purchasing travel insurance online, save the policy schedule, certificate of insurance, policy wording and insurer contact details. Keep the emergency assistance number in a separate note rather than relying only on the policy PDF.

If you need to contact the insurer during the trip, having the policy number and relevant documents ready can be helpful. Any claim remains subject to policy terms, applicable limits and required supporting documents.

Medical Prescriptions and Health Records

Travellers who take regular medicines should save a copy of the prescription and any relevant medical note. It is also useful to keep the generic names of prescribed medicines, especially when brand names differ abroad.

If a destination requires a vaccination or health certificate, save a digital copy while carrying the original whenever required.

Driving Licence and International Driving Permit

If you plan to rent or drive a vehicle abroad, save copies of your Indian driving licence and International Driving Permit, where applicable. Also retain the car rental confirmation and important rental terms.

Driving requirements vary by country. A digital copy is useful for reference, but it may not be accepted instead of the original licence or permit.

Travel Booking and Payment Receipts

Save receipts for major prepaid arrangements such as flights, hotels, tours and transport bookings. Keep cancellation confirmations, refund emails and revised tickets if plans change.

These records help you track what was booked, what changed and what payments were made. They may also be needed as supporting documents for an eligible insurance claim.

Emergency Contact Information

Create one digital document containing important phone numbers. Include a family contact in India, your accommodation, airline, insurer, bank and the nearest Indian embassy or consulate relevant to your destination.

Save this file for offline access. Do not depend entirely on contacts stored only inside your phone.

Documents Related to the Purpose of Travel

Depending on the reason for your trip, you may need additional supporting documents. Students can save admission letters or university documents, while business travellers may keep invitation letters, conference confirmations or employer-related papers. 

Keeping these files organised can make them easier to access if they are requested during immigration checks or other travel-related formalities.

Before an international trip, focus on saving documents that confirm your identity, travel permission, bookings, insurance, medical needs and important contacts. Name each file clearly and keep essential copies available offline.
